Below is a customized Terms and Conditions draft for Universal Child Care & Learning Centre (“Universal,” “we,” “our,” or “us”). Feel free to adjust any section to better match your services, policies, regulations, or legal requirements. Consider review by a legal advisor before adoption.
By using universalchildc.ca (the “Site”) and enrolling your child in our programs, you agree to these Terms and Conditions (“Terms”), along with our Privacy Policy and any other policies incorporated by reference. If you don’t agree, please discontinue use and/or enrollment.
Universal operates child care and learning programs for children in infancy through school age. We offer extensions such as preschool, after-school, and drop-in care. Specific program details, schedules, and fees are described on the Site and/or in enrollment materials.
Registration must be completed online or via our office and includes a non-refundable registration fee and deposit as outlined in our current session materials.
Enrollment is confirmed once fees (registration, deposit, tuition) are paid in full and required forms (including health and emergency authorizations) are submitted.
We reserve the right to refuse or terminate enrollment if forms are incomplete or if policies aren’t adhered to.
Tuition fees and schedules are outlined on the Site and updated each session.
Payments are due by the 1st of each month (or as otherwise stated). Late payments may incur fees or, in extreme cases, withdrawal from the program.
Registration fees and deposits are non-refundable.
Tuition overpayments will be refunded, but any outstanding charges (e.g., late payment, special events) may be deducted from credits.
Tuition is not reduced or refunded for absences (vacations, illness, closures).
Refunds or credits are considered only if approved at management discretion.
Universal operates on a pre‑published calendar, including closures for holidays and staff development.
These closures and any emergency shutdowns (e.g., weather, power) are not grounds for fee refunds.
Parents will be notified in advance of planned closures.
Parents must follow drop-off/pick-up rules and complete sign-in/sign-out.
If a child is not picked up by closing, late fees will apply at the rate published in current enrollment materials.
If no one arrives within 30 minutes post‑closing, authorities may be contacted.
Children showing symptoms of contagious illness must stay home until symptom-free according to public-health guidelines.
The Health Form must be provided before enrollment, and updates must be notified promptly.
Universal offers first aid and may administer emergency medication with proper authorization. All medications must be clearly labeled and accompanied by signed instruction.
For emergencies, appropriate medical services will be called. Parents will be contacted, and the child may be transported to hospital care at the parent’s expense.
We strive to maintain a secure, respectful environment. Parents must be courteous and respectful to staff, children, visitors, and each other.
Universal retains the right to terminate enrollment or deny access (temporarily or permanently) if behavior endangers others or consistently disrupts operations.
Upon enrollment, parents may authorize Universal to photograph or record their child for educational or promotional use. If permitted, these materials may be used on the Site, social media, or printed materials. Parents may revoke consent in writing.
Our Privacy Policy explains how we gather, use, and protect your personal information. By enrolling, you consent to this data processing. Confidential information about families is not shared outside Universal without explicit permission, except where required by law.
The Site’s content—design, text, images, logos—is owned by Universal or its licensors. You may not reproduce, distribute, or adapt content without permission, except for personal, non-commercial use.
We comply with all licensing, safety, and care standards. Activities are supervised by trained staff.
However, Universal is not liable for incidents arising from circumstances beyond reasonable control (e.g., acts of nature, unforeseen illness).
Parents assume risks related to child care and release Universal from associated liability, except where prohibited by law.
We may suspend or terminate your child’s enrollment if:
Fees are overdue,
Information is invalid or withheld,
Policies are violated,
The relationship is detrimental to a safe environment.
Parents may withdraw with 30 days’ written notice and must pay for that period in full.
We may amend these Terms at any time. Updated Terms are effective when posted on the Site. Continued use of our services after changes implies acceptance.
These Terms are governed by Alberta law. Disputes will be addressed in courts in Calgary, Alberta, unless agreed otherwise.
